Recommendation

Motion to approve Additional Spending with Sullivan Electric & Pump, Inc. for the Purchase, Installation, and Repair of Irrigation Pump Stations in the amount of $300,00.00, specifically for the purchase of an irrigation pump station for the Delray Beach Municipal Golf Course Renovation project (Public Works Project No. 19-032), for a revised agreement total of $540,000.00.

Body

Background:

On May 7, 2024, the City of Delray Beach (City) approved Resolution No. 112-24 to award Agreement P2024-028 with Sullivan Electric & Pump, Inc. for the Purchase, Installation, and Repair of Irrigation Pump Stations utilizing the prices, terms and conditions of Palm Beach County (PBC) IFB No. 23-017/MB. PBC entered into a one-year agreement effective March 3, 2023, through March 2, 2024, with the option to renew for four (4) additional one-year renewal periods. The estimated value of the initial term of this agreement was $197,500.00.

On October 16, 2023, PBC exercised its first option to renew through March 2, 2025, for an estimated value of $149,000. This amount was later increased to a revised term value of $174,000.00.

On March 4, 2025, PBC exercised its second option to renew through March 2, 2026, for an estimated value of $199,999.00.

The Public Works Department is requesting an increase of $300,000.00 on P2024-028 for the purchase of a Watertronics Golf Course Irrigation Pump Station for the Delray Beach Municipal Golf Course Renovation project. Due to long lead times for the pump station, staff is utilizing P2024-028 rather than ITBC 2025-045 (construction services for the renovation) to purchase the pump station to ensure delivery and installation in time for the growth season.

The original value of P2024-028 was $240,000.00 ($60,000 per each of the remaining terms of IBF No. 23-017). The revised agreement value is as follows:

Initial Term

May 7, 2024 - March 2, 2025

$60,000.00

Renewal Term 1

March 3, 2025 - March 2, 2026

$60,000.00

One-time Purchase of Golf Course Irrigation Pump Station

$300,000.00

Renewal Term 2

March 3, 2026 - March 2, 2027

$60,000.00

Final Renewal

March 3, 2027 - March 2, 2028

$60,000.00

TOTAL

$540,000.00
