Motion to approve Resolution No. 85-26 to award an Master Service Level Agreement to Northwest Regional Data Center, NWRDC, through Florida State University in an amount not to exceed $160,000 over a five-year period.

Background:

The City of Delray Beach relies on a secure, professionally managed colocation data center at the Northwest Regional Data Center (NWRDC) on the Florida State University campus in Tallahassee. The facility provides the essential power, cooling, rack space, and physical infrastructure needed to house a complete mirrored copy of the City’s mission critical systems. By serving as our primary Business Continuity and Disaster Recovery site, NWRDC allows the City to maintain operations without interruption should our local data center become unavailable.


The City supplies and manages its own computer equipment within the NWRDC environment and maintains a dedicated network circuit linking our Delray Beach data center to the mirrored systems hosted there. The request at this time is to continue utilizing NWRDC as the City’s colocation facility for the next five (5) years, at a cost not to exceed $160,000 over that period.


The estimated costs outlined in this agreement reflect historical annual increases reviewed and presented during NWRDC’s yearly budget cycle. In addition to core colocation services, NWRDC offers optional remote hands assistance-such as equipment reboots, basic troubleshooting, hardware replacements, and receiving deliveries-available at contingency rates when needed.


This will be a three (3) year agreement for services effective September 2026 through September 2029, with the option to renew for two (2) additional one (1) year terms.
