Motion to approve the following for Bid 2016-036:

Motion to approve a three year price agreement with two (2) one (1) year optional renewal periods to Roger Dean Chevrolet, Inc. as the primary supplier for Chevrolet Original Equipment Manufacturer Parts and Service with spending not to exceed $40,000 per fiscal year.

Motion to approve a three year price agreement with two (2) one (1) year optional renewal periods to Steve Moore Chevrolet, LLC dba Autonation Delray as the secondary supplier for Chevrolet Original Equipment Manufacturer Parts and Service with spending not to exceed $20,000 per fiscal year.

 

Body

Background:

A bid was issued on November 9, 2015 with a due date of November 30, 2015. The bid award is for a three (3) year year term with two (2) one (1) year optional renewal periods. The bid included a list of 40 specified parts. Roger Dean Chevrolet provided the best pricing on a majority of the parts. Staff is recommending Roger Dean Chevrolet be awarded as the primary supplier and Steve Moor Chevrolet, LLC as a secondary vendor. The City would request the parts from the primary and when the parts are not available from the primary, the secondary source would be contacted.

 

The bid award is in accordance with the Code of Ordinances, Chapter 36, Section 36.02 (A)(1), "Sealed Competitive Method". The City maintains approximately 100 Chevrolet vehicles, the Fleet Maintenance Division is responsible for maintenance and repairs. The Fleet Division provided a list of the most frequently used parts and other parts will be purchased based upon percentage above cost.

Finance recommends approval.
