Recommendation

Motion to Award Bid No. 2016-038 to GoRack, LLC. for a one time cost of $2,592 and an annual amount of $56,784.00 for the data center collection. This recommendation is in compliance with the Code of Ordinances, Section 36.02 (A)(1), “Sealed Competitive Method”. Funding is available from 334-6112-519.46-90 for $39,782 (Repair and Maintenance); 442-5178-536.46-90 for $9,797 (Repair and Maintenance) and 448-5461-538.46-90 for $9,797(Repair and Maintenance).

Background:

On November 6, the City issued Bid 2016-038 for a data center colocation, redundant internet connection and a fiber transport service to the colocation site. The City received four responses on November 30, 2015. GoRack LLC  was the lowest bidder with an implementation cost of $2,592 and an annual cost $56,784.  The The bid award is in accordance with Code of Ordinances, Section 36.02 (A)(1), Sealed Competitive Method.

 

The City bid award anticipates a five (5) year agreement with two additional one year renewal periods. The contract will be finalized and brought back to Commission for approval.

Currently the City is utilizing two (2) Data Centers in Delray Beach within City owned buildings. The award of this bid will secure a redundant, hardened facility in Jacksonville, Florida. The redundant facility will house the City's redundant servers and hardware. The Information Technology Department recommends the secondary server site, used in emergency situations, should be located outside of the South Florida Region. This bid award is the first step to ensure business continuity for City systems.
