Motion to Approve a purchase agreement to Synovia Solutions, LLC for vehicle diagnostics, asset tracking and other technology services in a total not-to-exceed amount of $40,000 for Fiscal Year 2017.

Background:
On March 31, 2105, City Commission approved an award to Synovia Solutions LLC(BID #2015-29) to install 109 Vehicle Fleet Global Positioning System (GPS) units. The City would like to continue the monitoring, diagnostics, asset tracking and other technology services to be performed to these units using their proprietary software services.

The Fleet Division in the Environmental Services Department has on-going requirements for technology services for the City vehicle fleet for diagnostics and tracking purposes. Synovia Solutions, LLC is the City's software provider for these services and the Fleet Division is requesting approval to use Synovia Solutions, LLC for multiple purchases of software updates and services during Fiscal Year 2017 in a not-to-exceed amount of $40,000. The software allows Fleet to track vehicles via the Global Positioning System (GPS). Additionally, the vehicle data gathered provides insights into vehicle performance and maintenance needs. Synovia is the sole source provider of tracking and reporting services for the Synovia Solutions GPS units.

The City currently has 119 vehicles equipped with active GPS tracking devices with a monthly cost for equipment and tracking services of approximately $2,700.Therefore staff is requesting approval of a not-to-exceed amount of $40,000 to allow for additional devices that may be required during the year.
