Motion to Approve extensions of the agreements with Avirom & Associates, Inc., Caulfield & Wheeler, Inc., Dennis J. Leavy & Associates, Inc. and Wantman Group, Inc. for continuing surveying services through September 30, 2017.

 

Body

Background:

In April 2012 the City awarded two-year agreements to  Avirom & Associates, Caulfield & Wheeler, Dennis J. Leavy & Associates and Wantman Group for continuing surveying consulting services for projects included in the approved five year capital improvements plan (RFQ 2012-07). On May 13, 2016 the final renewal option through April 2017 was exercised. On April 14, 2017, City Manager approved an extension of the agreements through July 3, 2017 to allow for time to cmplete the solilcitation process for a new agreement.

Evaluation of the solicitation responses for a new agreement(s) for surveying services is in process.  Therefore, staff is requesting an extension of the agreements through September 30, 2017 so that services can continue until the new agreement(s) can be awarded.

 

This recommendation complies with the City Code of Ordinances, Chapter 36, Section 36.07(A)(3), "Termination, Extension and Renewals".

 

City Attorney Review:

Approved as to form and legal sufficiency.

 

Finance Department Review:

Finance recommends approval.

 

Funding Source:

Funding is available from the approved Capital Improvements Plan.

 

Timing of Request:

These four Agreements expire on July 3, 2017, time is of the essence.
