Recommendation
Motion to approve Amendment No. 2 with M & M Asphalt Maintenance, Inc. d/b/a All County Paving, Inc. in a total agreement value not-to-exceed $125,000 from June 1, 2018, through May 31, 2019, utilizing the City of Sunrise Contract C15-33-05-MS for roadway restoration services.
Body
Background:
On February 7, 2017, the City of Delray Beach (City) entered into an agreement with M & M Asphalt Maintenance, Inc. d/b/a All County Paving, Inc. (M&M) for road restoration services (Agreement) using existing contract prices provided to the City of Sunrise pursuant to its solicitation number 15-17-02-MS (C15-33-05-MS). The term of the Agreement was from February 7, 2017 through May 31, 2017, with two, one-year renewal options, contingent upon the City of Sunrise’s renewal of C15-33-05-MS.
On May 4, 2017, the City of Sunrise exercised the first option to renew C15-33-05-MS through May 31, 2018. On June 29, 2017, the City executed Amendment No. 1 to the Agreement, which renewed the Agreement through May 31, 2018. On March 5, 2018, the City of Sunrise exercised their final option to renew C15-33-05-MS through May 31, 2019. Because road restoration services are still needed, staff recommends approval of Amendment No. 2 to renew the Agreement through May 31, 2019, pursuant to the City of Sunrise’s C15-33-05-MS.
During the fiscal year 2017 budget process, the Water and Sewer Network Division of the Utilities Department recommended outsourcing road restoration services to augment work performed by the Public Works / Streets and Traffic group. The services under this Agreement provide as-needed resources for expedient and cost-effective restoration of City asphalt roadways, asphalt and concrete driveways, and concrete sidewalks that have been impacted by water, sewer, reclaimed, and/or stormwater utility repair and maintenance work.
This motion is in accordance with the City Code of Ordinances, Section 36.02 Commission Approval Required and the City’s Purchasing Policies and Procedures Manual, Change Orders and Amendments.
