Motion to increase the approved contract value with Sullivan Electric & Pump, Inc. and Condo Electric Motor Repair Corp. to an amount not-to-exceed $80,000 each, per fiscal year, for electric pump repairs.

Background:
On November 3, 2015, the City of Delray Beach (City) entered into electric pump repair contracts with Condo Electric Motor Repair Corp., Electric Motors of Palm Beach, Inc., and Sullivan Electric & Pump, Inc. through November 2, 2018 with two, one-year renewal options. The City uses purchase orders as the contracts for these electric pump repairs, and therefore there are no written agreements.

Included in the original approval was a contract value of $40,000 per contractor, per fiscal year. This contract value was thought to be sufficient throughout the initial contract term and renewal periods. However, due to aging pumps, increasing maintenance requirements, and unforeseen events like hurricanes, total spending is estimated to be closer to $200,000 per fiscal year starting in 2018. Therefore, City staff requests approval of an increased contract value with Condo Electric Motor Repair Corp. and Sullivan Electric & Pump, Inc. in an amount not-to-exceed $80,000 each, per fiscal year. The approved contract value with Electric Motors of Palm Beach, Inc. is not requested to be increased because they do not offer lift station pump repairs, a task which greatly increases the costs related to electric pump repairs.

This motion is in accordance with the City Code of Ordinances, Section 36 and City Policies and Procedures, Change Orders and Amendments.
