Motion to award a three (3) year Agreement with United States Services Industries (USSI) for Janitorial Services at the Delray Beach Municipal Golf Club in a total amount not to exceed $48,615 and authorize the City Manager to exercise any and all renewal options.

Background:

On January 9, 2018, the City advertised Request for Proposals No. 2018-024 for Janitorial Services at the Delray Beach Municipal Golf Club.  Janitorial Services at the Delray Beach Municipal Golf Course support the clubhouse operations by providing a clean and inviting space for customers. The Delray Beach Municipal Golf Course supports 43,000 visitors at the restaurant, 66,000 golf rounds annually and an additional 10,000 driving range visits. A clean and inviting facility (clubhouse, restrooms, etc.) is necessary to sustain and increase the usage at the Delray Beach Golf Club. Ten (10) responsive and responsible proposals were received from A1 Extreme Cleaning, LLC, Chi-Ada Corporation, Custom Cleaning and Management Services Corp., Image Janitorial Services, Inc., Jan-Pro Palm Beach, J Oliva Trucking, LLC dba J Oliva Enterprises, LLC, Kelly Janitorial Systems, Sawgrass Cleaning Solutions, SJ Brighter Clear, Inc., United States Services Industries (USSI). Proposals were evaluated based upon the criteria in the RFP. The final ranking of firms is as follows:

The cost submitted by United States Services Industries (USSI) in the proposal was in an annual amount of $52,706.52. Staff was successful in negotiating the annual price to $48,615.  This negotiated reduction results in a savings of over the three-year contract term and renewal terms of $20,460. The Agreement staff is presenting to Commission is for a not-to-exceed annual amount of $48,615. The Agreement is for three (3) years with the option to renew for an additional two (2) years.

 

This motion is in accordance with Code of Ordinances Section 36.02 Commission Approval Required.

The previous janitorial contract for the Delray Beach Municipal Golf course was awarded in April 21, 2015 and executed on June 18, 2015. The original award was for a 1 year agreement with two - 1 year renewals. The amount of the contract was $32,640.

 

Timing of Request:

This matter is time sensitive as the contract with the vendor expires on June 17, 2018.
