Motion to approve Resolution No. 112-18 for a not-to-exceed amount of $250,000 to Cintas Incorporated, utilizing the U.S. Communities Governmental Purchasing Alliance Cooperative Contract No. 12-JLH-011C, for fire alarm monitoring and maintenance services citywide valid through March 31, 2019.

Background:
Currently, the City of Delray Beach (City) is using several vendors with varying fees, contract conditions and inconsistent levels of service to provide fire alarm monitoring and maintenance services. In order to provide consistency and enhanced accountability, staff recommends standardizing this maintenance contract citywide. The process of converting some of the fire alarm systems to Cintas Incorporated began late last year as a pilot project with an approved spending value of approximately $50,000.

Cintas has subsequently demonstrated their reliability, capability and high quality of work. Ultimately, this effort will enhance the City’s facility maintenance program by allowing the proactive management of costs through minimizing expensive emergency repairs. Cintas is a participating vendor in the US Communities Government Purchasing Alliance (Alliance), of which the City is a member. Purchases will be made utilizing Contract Number 12-JLH-011C (Contract), which was competitively solicited by Hartford County Public Schools in Hunt Valley, Maryland. The contract has a three (3) year initial term from April 1, 2012 to March 31, 2015; the contract has been extended through March 31, 2019.
