Motion to approval of Resolution No. 55-19 with Cintas Corporation No. 2 at an estimated cost of $250,000 and authorize the City Manager to approve renewal options, in the same amounts, contingent upon appropriation of funds.

Background:

Last summer, Cintas Fire Protection began providing the City of Delray Beach (City) fire alarm maintenance, monitoring and inspection services. Prior to Cintas, the City utilized a multitude of vendors with varying fees, contract conditions and inconsistent levels of service. As such, staff recommended and City Commission authorized the standardizing of fire alarm related services.

The agreement between the City and Cintas was established through the U.S. Communities program. U.S. Communities helps participating public agencies reduce the cost of goods and services through strategic sourcing that combines the purchasing power of public agencies nationwide. This is accomplished through an award of competitively solicited contracts for high quality products and services by large and well recognized public agencies. The contracts are available for use by the respective lead agency and, also by other participating agencies; the City of Delray Beach is a member.

The original agreement between the City and Cintas expires on March 30, 2019. On December 13, 2018, the Prince William County Public Schools R-BB-19002 entered into a five-year agreement with Cintas Corporation No. 2 for Facilities Management Products And Solutions: Fire Protection Services established through U.S. Communities Governmental Purchasing Alliance (U.S. Communities). Cintas and U.S. Communities entered into a new five (5) year agreement with the option to renew for two (2) additional two (2) year periods. Should the City exercise the renewal options provided in the contract, the cumulative contract value is provided below.

In order to continue the required services without interruption, staff recommends awarding a contract to Cintas utilizing the U.S. Communities Contract No.R-BB-19002, for fire alarm monitoring and maintenance services.

This motion is in accordance with Code of Ordinances Section 36 and City Policies and Procedures.

Funding will be available from account No. 001-41-350-519. 34-90; Building Maintenance / Other Contractual Services

This issue is very time sensitive in order to provide the required services without interruption.
